EXCOM Teleconference Minutes

2002 Annual Meeting Update—Don MacDonald

  • The 2002 meeting is rapidly approaching!  The agenda is finalized, and includes 10 concurrent sessions in every time block except Saturday afternoon (when there are only 8 sessions!).  There will be a mixer on Friday evening, a Columbia River Arts and Cultural event on Sunday night, and they are currently selecting luncheon speakers.  All of the plenary speakers have been chosen as well. 
  • The SFF needs to raise $10,000 to attain the meeting budget, and are hoping that the USFS will contribute. 
  • There was a discussion about changing the time for the Executive Committee meeting (Sunday evening) since it conflicts with the Columbia River Arts event, but due to travel constraints we will keep it as is.
  • New t-shirts will be for sale at the meeting, and will have the WDAFS logo on one sleeve and the SFF logo on the other sleeve. 

2003 Annual Meeting—Tom McMahon

  • We have signed the contract with the Hyatt in San Diego.
  • The meeting will run between April 14th-17th, with a continuing education event and social on April 14th, the plenary and contributed papers on April 15th, contributed papers and a banquet on April 16th, and contributed papers and wrapping things up on April 17th
  • Tom will write up a short paragraph about the upcoming meeting and submit it to the newsletter.

2004 Annual Meeting—Eric Knudsen

  • Dana Schmidt and Bruce Ward have contacted Eric regarding our most current offer to participate in the WFC meeting.  They were disappointed that we will not co-convene with them for our annual meeting, and may come back with another offer. 
  • Proposed locations for the 2004 meeting are Salt Lake, Ogden, and Park City, Utah.  The proposed meeting time is the last week in February to avoid conflict with the WFC meeting, although there may be conflicts with Chapter meetings. 

Mid-Year Governing Board Meeting (March 15-16)

  • Eric and Tom will attend meeting.  On March 15th, Eric will stand in at the Management Committee meeting for Don.  Tom will stand in for Don at the March 16th Governing Board meeting.
  • Action items that the WDAFS will propose:
      • Lower rates for online Fisheries subscriptions for NA residents—currently the rate for non-NA residents is lower than NA residents.
      • Propose a 3-day annual meeting instead of 3-½ day meeting.
      • Propose that the WDAFS receive 10% of the net proceeds when we co-convene with the parent society for our annual meeting in 2005.
      • Electronic communications and mailing lists.

Scholarships

  • Deadline for scholarship applications to Bob Gresswell is March 15th.

Newsletter

  • All contributions for the next newsletter should be in by February 26th so that the newsletter can be published by March 5th.  Ballots will be included for officer elections (Vice President and Nominating Representative), and completed ballots will be sent to Monica for tallying. 
  • It was requested that each Chapter and committee submit an item of interest for publication in the newsletter.

Finance Committee

  • David Cowley is the chair of the new ad hoc Finance Committee, which is in charge of raising funds to support our annual business meeting (breakfast).  Eric feels that we have met our goal of funding the breakfast—USGS has contributed $10,000, and Pacific Power is considering donating $1,000.

Correspondence with Mexican Fisheries

  • Bern Megrey, President of the International Fisheries Section, is giving a 1-2 hour seminar about AFS at the PICES meeting in LaPaz, BCS, Mexico.  He has requested that the Western Division reimburse him for his hotel costs.  He is also asking the AFS contribute memberships that would be given away at the upcoming meeting in April in LaPaz.  Don suggested that we should put approximately $500 into memberships to be given away at the meeting, but didn't feel that the Western Division should pay for Bern's travel and the EXCOM concurred. 
  • It was agreed that we send the International Fisheries Section $500 to fund Mexican memberships.  To account for this in the budget, we will create a new line item—“Subunit Support”.

Approval of Minutes

  • The January 29th meeting minutes were approved (voting Chapters—Alaska, California-Nevada, Idaho, Wyoming, and NPIC).
