EXCOM Teleconference Minutes
Date: June 20, 2002

Participants:  Don MacDonald, Tom McMahon, Monica Hiner, Bill Bill Bradshaw, Scott Tolentino, Tony Faast, Dave Zafft, Bob Wunderlich, and Allen Bingham (briefly).2003 Annual Retreat (Don)

  • This year's retreat will be held in Salt Lake City at the Little America Hotel, which is the proposed site for the 2004 Annual Meeting.
  • The proposed time of the retreat is November 16th-17th (Saturday and Sunday).
Hutton Jr. Biology Program-WDAFS Coordinators
  • Cindy Williams and Casey Harthorne have volunteered to co-chair the ad hoc committee
Western Native Fishes Project
  • The Western Division will take on this project if they can raise another $30K to match the money we have already received from the Packard Foundation.
  • The Division would hire a contractor to complete this project, and a committee would review the report.
  • The stages for the project would be: 1. Literature Review; 2. Identify key data gaps; 3. Survey agencies for missing data; and 4. Write report.
Environmental Concerns Committee-Klamath River Review (Bob)
  • Bob has reviewed the documents, but Eric and Bob have not yet decided on the scope of the review. Reviewers have not been identified since the scope has not been determined, but Bob has a list of names given to him from the session at the Spokane meeting. The reviewers would likely include people that specialize in hydrology, freshwater fisheries, and ESA.
  • Don and Eric had previously proposed a review of the NAS review to identify deficiencies of the document (which will be final next spring).
  • The next step in the process-Eric, Bob, and others will convene a conference call to identify a subcommittee.
Electronic Communications Committee (Allen)
  • This committee has not been very active due to Allen's busy schedule. He will be back to his normal duties in approximately two weeks.
  • The email distribution list is not moderated, and a subcommittee would possibly help. Allen will contact Mickey Porter.
  • The Parent Society is now charging chapters for webspace. Alaska just got their bill and it was for $400. The WD has not yet received a bill. Allen is calling the parent society to question Alaska's bill, because they were supposedly charging per MB over the minimum, but the invoice shows that they ended up charging for each MB.
World Fisheries Congress
  • The Division is now being asked to host a Non-government organization session instead of the Large Rivers session we had already agreed on. We are also being asked for $5K, and Don proposed that we have them apply for a grant as others have to, and we will review it at the retreat.
  • The group discussed the fact that we had already agreed on the Large Rivers session (after much debate about our involvement since the Retreat!) and that we should stick with this decision.
  • There was a proposal that we approach them with the offer of donating $5K if we sponsor the Large Rivers session, with a Western Division representative acting as moderator of the session.
2002 Annual Meeting Proceeds (Don)
  • The Division's proceeds from the meeting will be approximately $6K, and may be as much as 10K if the breakfast costs are taken out of the general expenses.
2003 Annual Meeting (Tom)
  • Tom is traveling to San Diego today to look at the Scripps and Hyatt room sizes.
  • The first call for papers went out on 19-June (yesterday). The call will be in Fisheries, and Hannelore is giving us (for free!) a ¼ or ½ page ad. In addition, it will be posted in the meeting announcements section.
  • A social will be hosted by the Division this Friday for local folks (approx. 25 people) from SeaWorld, Scrippts, etc.
  • A subcommittee has been established to increase Mexican involvement at the meeting (Eric and Glen Contreras).
  • Tom and Dave Manning will discuss contacts for funds that are contributed to the general meeting fund.
2004 Annual Meeting (Scott T.)
  • Salt Lake City has been designated as the location for the Division's 2004 meeting, and it will likely be at the Little America Hotel. Proposed dates for the meeting are February 28-March 3, 2004.
  • The Bonneville Chapter will serve as the Local Arrangements committee and the Colorado-Wyoming Chapter will serve as the Program committee. Representatives from both chapters will meet soon and discuss the program. Lynn Starnes, who will chair the Program Committee wants to focus on native species and de-listing Threatened and Endangered species.
2005 Annual Meeting
  • It was brought up that we have our business meeting in the form of a banquet to increase attendance, but the general consensus of the group was that the breakfast is successful and we have good attendance, so we should stick with breakfasts.
Governing Board Meeting (Baltimore)
  • Don solicited the Executive Committee for items to bring up at the meeting-information is needed by mid-July.
    Committee Charges/Assignments
  • Bill is currently working on the WDAFS Strategic Plan. Eric has been working on a new draft of procedures. Dave Zafft is working on the Riparian Committee procedures, but lost all of his work due to computer problems….he's working on re-doing all of his hard work.
Newsletter
  • Next Tuesday is the deadline for submissions. The Tributary will be mailed on July 10.
Budget/Finances
  • It was suggested that we make a $500 contribution to the EEO Section. This money has been donated annually and helps fund travel for one diverse professional to the Annual Parent Society meeting. The general consensus was that we should contribute the money.
