EXCOM Teleconference Minutes

Secretary/Treasurer Report (Tom McMahon)

• Current Balances:
• 7/8/04: Check = $82,175.01 Savings = $17,724.07 CD =$13,569.74
• 7/10/04: Investment Portfolio = $67,353 (12.2% increase from Aug., 03)
• May EXCOM minutes approved
• EXCOM minutes for Salt Lake City meeting approved.

2005 Annual Meeting (Tim and Eric)

• First call for papers and symposia will be in September Fisheries.
• Things moving along very well, ahead of schedule at this point.
• The question of seed money needs arose. Tim Joyce will find out.
• The Division has agreed to assist in fundraising that will work with the local arrangements fundraising committee. A target of $50,000 by the Division was identified.
• Betsy Fritz, AFS Bethesda, was queried about developing an MOU. She strongly questioned the need. It was established when approving the meeting that the Division would co-convene its annual meeting and thus share in the fundraising, program committee, and receive 10% of the meeting profits.
• Reiterating the fund raising efforts:
• Larry Peltz (Alaska) is chairing the overall meeting fundraising and budgeting
• Don and Bill will co-chair Division effort. Bob Hughes will also be included.
• Target for 2005 annual meeting is 50K from the Division
• Funds raised during the upcoming fall fundraising fishing trip will not be included in the fundraising effort for the meeting

New Business

• Newsletter Update (Tom McMahon/Joe Margraf)
• Current Newsletter mailed on July 9. Contains Bylaws revisions to be voted on by August 4 . Assuming revisions pass, they will be presented to the Governing Board in Madison and will take affect at that time.
• Mexico Chapter Formation (La Paz Symposium) Update ( Eric Knudsen )
• Progress is being made toward symposium which will be used to kick-start the Western Mexico Chapter formation.
• Cutthroat Trout Documentary (Eric Knudsen)
• Much progress has been made. New project manager assigned who promises near final product by end of August.
• WDAFS Fundraising Retreat (Don MacDonald/Bill Bradshaw)
• Retreat scheduled for first week in October. Contact list is being developed. Individuals will each contact the people they recommend—to keep it personal.
• Bull Trout Review Request (Don MacDonald)
• Question arose concerning whether we should expect to charge for reviews of this nature. There was no resolution to this, but several valid points on both sides were made. It warrants further discussion.
• Pallid Sturgeon Draft Review Report
• Recommend that a cover letter from the Prez be attached to the report stressing importance and strongly supporting. Should highlight 2-3 of the top issues.
• WDAFS End-of-Year Reports – Div. Financial, Committees and Chapters
• Tom needs these soon for his annual report to the Governing Board in Madison.
• WDAFS 2005 Budget (Lynn Starnes)
• Budget contained income from 2005 meeting, but this will actually not occur until FY2006. So we will have a rather large apparent budget shortfall for this year. This will be offset by double meeting income in 2006. Midyear EXCOM meeting in Albuquerque tentatively set for Oct 18-20; may need to increase budget allocation for travel costs for it.
